The biggest mistake event organizers make is treating AV as a commodity rented from the cheapest bidder. AV is a discipline — bad sound or a dim projector ruins a $50,000 corporate event. The right partner is one who reads the room, anticipates problems, and arrives early to test under live conditions.

Visual

  • Projectors: sized by lumens — 3,000-5,000 for small rooms, 10,000-30,000 for ballrooms, 50,000+ for outdoor/very large venues.
  • LED walls: indoor 2.6-3.9mm pitch, outdoor 4.8-6.9mm — modular panels assembled to any size.
  • Screens: tripod (small), front projection (medium), rear projection (best), LED walls (premium).
  • Confidence monitors: for speakers to see their slides while facing the audience.

Audio

  • Line array speakers for conferences over 100 people.
  • Wireless lapel + handheld mics (Sennheiser, Shure) — always have backup.
  • Mixing board sized to source count — small digital mixers for corporate, large analog/digital for concerts.
  • Soundproofed simultaneous translation booths with IR receivers for multilingual events.

Conference Systems

  • Delegate microphones with push-to-talk + voting.
  • Chairman control with priority override.
  • Recording of every speaker for transcription.

Live Streaming / Hybrid Events

  • Multi-camera switching (3-6 cameras typical).
  • Graphics overlay (logos, lower thirds, slides).
  • Stream to YouTube, Zoom Webinar, custom platform.
  • Internet redundancy (primary + 4G/5G backup) is non-negotiable.

How to Brief AV Vendors

  • Venue floor plan with seating arrangement and stage location.
  • Agenda with each speaker's tech needs (mic, slides, video clips, live demo).
  • Soundcheck time built into schedule — 2-3h minimum before doors open.
  • Plan B for power failure (UPS for critical audio, generator on standby).
  • Single point of contact from your team to the AV team during the event.
